Accounting Setup
Build a Stronger Financial Foundation from Day One
Prime Regent assists new and growing UAE companies with setting up their accounting properly: software configuration, chart of accounts design, opening balances, customer and supplier records, invoice and expense workflow, and the reporting structure management will rely on. Decisions made in the first few weeks shape how easily the business can be measured for years afterwards.
A chart of accounts takes an afternoon to design and years to live with. It is worth getting right.

Set Up Once, Properly
Plenty of accounting problems are not bookkeeping failures at all. They are setup failures. A chart of accounts copied from a default template that does not match how the business earns money, VAT codes applied inconsistently from the first invoice, opening balances entered without support, no cost centres so nothing can be reported by branch or project. The bookkeeping may be diligent, but the structure will not answer the questions management asks.
Prime Regent works through that groundwork deliberately. We help select and configure accounting software, design a chart of accounts around your actual activities, load and verify opening balances, set up customer and supplier records with credit terms, define expense categories and approval routes, configure bank and VAT settings, and establish month-end closing and reporting procedures. Existing setups can also be reviewed and reorganised where the current structure is limiting reporting.
What we configure during setup:
| Setup Area | What We Configure | Business Benefit |
|---|---|---|
| Chart of Accounts | Account structure built around your actual activities | Reports that match how you operate |
| Opening Balances | Loading and verifying starting figures with support | A reliable starting position |
| Master Records | Customer and supplier records with terms and tax settings | Consistent invoicing from the start |
| Workflow | Invoice, expense and documentation procedures | Fewer gaps and missing documents |
| Reporting Structure | Cost centres, report formats and closing procedure | Useful reports without rework |

How We Work
Our Setup Process
Setup is a short, defined project with a clear end point: a working system, verified balances and a documented routine your team can follow from the first month onwards.
We review your licence, activities, revenue model, transaction types and reporting expectations, along with any system already in use, to establish what the setup has to support.
Software is selected or confirmed, then configured: company details, financial year, tax settings, bank accounts, users and access levels.
The chart of accounts is designed around your actual activities, with cost centres or segments where reporting by branch, project or division will be needed.
Opening balances, customer and supplier records, credit terms, expense categories and item lists are loaded and verified against supporting documentation.
We document the invoicing, expense, filing and month-end closing routine, brief your team, and remain available while the first cycles run.
FAQ
Setup Questions Answered
Questions from new companies and from established businesses reconsidering an accounting structure that no longer fits how they operate.
As early as practical, ideally before the first invoices and expenses start accumulating. Setting up at the outset means transactions are recorded correctly from day one, VAT treatment is consistent, and there is no reconstruction exercise later. Businesses that postpone it usually end up paying twice: once for the catch-up work and again for restructuring the accounts afterwards.
Yes, and it is a common request. We review the chart of accounts, tax configuration, opening balances, master records and closing routine, then report what is working, what is limiting your reporting and what should be changed. Some findings are quick corrections; others need restructuring. Either way you get a clear picture before committing to any work.
Yes. The chart of accounts is designed around how your business actually earns and spends, not from a generic template. Revenue and cost lines are structured so margins can be read directly, expenses grouped the way management thinks about them, and cost centres added where reporting by branch, project or division matters. It stays detailed enough to be useful without becoming unmanageable.
Yes. Opening balances are prepared from your available records, whether that is a previous accounting file, spreadsheets or source documents, and verified before being loaded. Bank, customer, supplier and asset balances are agreed to supporting evidence, so the system starts from a position that can be defended rather than one that simply balances.
It can, and most clients choose that route. Once the structure is in place we can take on monthly bookkeeping, VAT and reporting under a single arrangement, which means the team maintaining the accounts is the one that designed them. Alternatively we hand over to your in-house staff with documented procedures and remain available for questions.
